This Privacy Policy explains how [LEGAL ENTITY] ("Sentriplex", "we", "us", or "our") collects, uses, discloses, and safeguards information when you use the Sentriplex push-to-talk applications, websites, and related services (collectively, the "Service"). By using the Service you agree to this Policy.
Sentriplex is a workplace communication tool. In most cases your employer or organization ("Organization") creates an account, invites you, and acts as the controller of your information. If you use Sentriplex through an Organization, that Organization's policies also apply, and questions about their data practices should be directed to them.
1. Information we collect
a) Information you or your Organization provide
- Account & profile: name, email address, password (stored hashed), role, department, and the Organization you belong to.
- Communications content: voice (push-to-talk) audio, text messages, images, and—where your Organization enables call recording—stored audio recordings of channels.
- Safety & operations data: emergency/SOS, duress and man-down alerts, check-ins, guard-tour and checkpoint scans, and incident reports (including any photos you attach).
- Billing: if your Organization purchases a paid plan, payment is processed by our payment provider; we receive limited billing metadata (plan, status), not full card numbers.
b) Information collected automatically
- Location data: with your permission, precise GPS location is used for the live map, geofencing, lone-worker safety, and emergency response. Location is shared with dispatchers/administrators in your Organization. You can disable location in your device settings (this limits safety features).
- Device & push tokens: device type, OS version, app version, and push-notification tokens (Firebase Cloud Messaging / Apple Push Notification service) so we can deliver calls and alerts.
- Usage & diagnostics: connection events, presence (online/offline), logs, and error/crash data used to operate and improve the Service.
c) Device permissions we request
- Microphone — to transmit push-to-talk voice and emergency hot-mic audio.
- Location (foreground/background) — for live map, geofencing, and lone-worker safety.
- Camera — to scan checkpoint QR codes and capture incident photos.
- Photos/Media — to attach images to messages or incidents.
- Notifications — to ring incoming calls and deliver alerts.
- Motion sensors — for man-down / no-motion detection (when enabled).
2. How we use information
- Provide core push-to-talk, messaging, dispatch, and safety functionality.
- Deliver calls, broadcasts, and emergency alerts in real time.
- Enable safety features (live location, geofencing, lone-worker monitoring, guard tours, incidents).
- Provide optional AI features (transcription, translation, summaries) on recordings, where your Organization enables them.
- Authenticate users (including single sign-on) and maintain security and audit logs.
- Process subscriptions and prevent fraud and abuse.
- Maintain, troubleshoot, and improve the Service.
- Comply with legal obligations.
3. How information is shared
We do not sell your personal information. We share it only as follows:
- Within your Organization: your messages, location, presence, alerts, and recordings are visible to authorized members, dispatchers, and administrators of your Organization as required for the Service.
- Service providers (sub-processors) who process data on our behalf under contract, including: real-time media/SFU and recording infrastructure (LiveKit), cloud hosting and storage, push delivery (Google FCM / Apple APNs), authentication/SSO (Supabase), payment processing (Stripe), transactional email (Resend), and—if enabled—an AI/transcription provider. The specific AI provider may be a self-hosted model operated by your Organization.
- Legal & safety: when required by law, to enforce our terms, or to protect the rights, safety, and security of users and the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
4. Data retention
We keep account information for as long as your account is active. Communications and safety records are retained for as long as needed for the Service or as configured by your Organization (for example, a recording-retention period). Recordings and logs are deleted or anonymized after their retention period. When an account is deleted, we remove or de-identify associated personal data within a commercially reasonable period, except where retention is required by law. See our Account & Data Deletion page.
5. Security
We use industry-standard measures including encryption in transit (TLS), encrypted media transport, hashed passwords, scoped access tokens, and role-based access controls. No method of transmission or storage is 100% secure, but we work to protect your information.
6. Your rights
Depending on your location (e.g., GDPR/UK GDPR, CCPA/CPRA), you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. If you use Sentriplex through an Organization, please contact that Organization first, as they control your data; we will assist them as a processor. 7. International transfers
We may process and store information in countries other than your own. Where required, we use appropriate safeguards for such transfers.
8. Children
The Service is intended for workplace use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.
9. Changes to this Policy
We may update this Policy from time to time. Material changes will be posted here with a new "Last updated" date. Continued use of the Service after changes take effect constitutes acceptance.
